Meet the strongest fair objection

Find the point of disagreement and answer it without evasion or misrepresentation.

Locate what is being challenged

An objection may dispute a fact, an inference, a value, a definition, or the feasibility of a proposal. Identify which before answering. More evidence for a premise will not settle a disagreement about the standard being used to judge it. Restate the concern briefly enough that its advocate could recognize it.

Concede precisely

A concession identifies a point the other side gets right; it need not surrender the whole argument. Explain whether the concession narrows your claim, changes the proposal, or leaves the central inference intact. Do not announce that an objection is excellent and then ignore it. Show its consequence for your judgment.

Answer difficult questions directly

If the question contains a false assumption, identify it calmly before giving the answer you can support. If two questions are combined, name them and answer in order. When you do not know a factual answer, say so and specify what information is needed. Finish with the implication of your response instead of shifting to a prepared talking point.

Revision

Your concern is that an extra preparation requirement could discourage volunteers. That is a real cost. I would narrow the proposal to a short agenda supplied by the meeting chair and review whether it increases participation after four meetings.

The response treats the objection as information relevant to the proposal and shows how it changes the recommendation.
